Considerations When Planning Your Corporate Event

Those who have ever undertaken, or have been part of the arduous task of starting a new business will understand better than most – just how complicated it can be. There are an endless number of tasks that need or could be done in preparation.

I’ve recently had the unique experience of watching an ex-colleague go through the trials and tribulations of starting his own business. Funnily enough, one of his most challenging hurdles didn’t even revolve around the day to day business operations or 'work'. For someone so collected throughout his career, I was astonished that the task that posed the greatest challenge to him was actually planning his first corporate event.

He called on me for help and together we put together our top three considerations for planning a corporate event.

1.       Venue

The first requirement to is find the right venue for the event, which sounds like a straight forward requirement but there are several factors to consider such as quality, location and cost.

Reputation and aesthetics are paramount in reflecting what image you wish your brand to reflect. Finding a venue that people have always wanted to visit, or a venue renowned for being exclusive will instantly create interest in the event.

Not only will you want the venue itself to be desirable, but the physical location must also be accessible. How easy will it be able to get to the venue? Is there public transport available and nearby?

Lastly, cost cannot be forgotten. Find the balance between quality, location and putting your business into financial difficulties from the off. 

2.       Catering

While the venue and location will entice the guests to come, giving them an appropriate gourmet experience will get them talking.

Nowadays it is an expectation that food will be served at corporate events regardless if it’s a breakfast event or a full blown formal dinner. Most venues will have their own catering agreements in place and this can be a good choice as they will be experienced in the intricacies of the venue.

Yet it is crucial to get the right food to compliment both your brand and venue. Explore every option available while corporate event planning to get a specialised catering company that will be able to create a bespoke food and drinks menu for your event. 

And that is the point, to get people talking. Guests will use the food as an icebreaker in conversations at event, as well as to sing the praises of the event long after it is over.

3.       X-Factor

As highlighted previously it is important to work within your financial constraints, but it is vital to keep some investment aside, that will allow you to focus one element of the event that is really going to give it the ‘x-factor’.

You may choose to decide that factor is the venue or the catering we previously discussed, but the most regularly deployed tactic to achieve ‘x-factor’ is to hire spectacular entertainment. Bringing in an individual or group with exceptional skills, that suits the theme of your event, is a sure way to impress guests that get them talking.

In recent times this has evolved into making use of modern technology. This could be done by investing in a cinematic video or an interactive visual event to create an impact and leave a lasting memory.   

Even at a child’s birthday party, providing a gift at the close of the event is also a nice way to thank your guests for attending. This should be replicated and it could be a matter of a simple discount code, free product or maybe even a cool piece of kit relevant to your brand.

Regardless of the individual choices made for the event, the aim should remain the same, leave the guests with a great experience that will keep your company at the top of their mind.

Hosting events for a new business or product will never be an easy task, however they will remain vital in creating intrigue and providing a grounding for the business to succeed.
